Files in Google Drive or OneDrive

If your organisation has connected Google Drive or OneDrive, you can open files from there and save your results back, without leaving DocuFlow and without signing in to Google or Microsoft yourself. If you don't see the buttons below, your organisation hasn't connected that service yet — ask your administrator.

To open a file from Google Drive or OneDrive:

  1. In any tool, or in the editor, select From Google Drive or From OneDrive next to the place where you would normally add a file from your computer.
  2. In the list on the left, choose where to look — for example My Drive, Shared with me or a shared drive.
  3. Open folders to find your file, or type at least two letters into Search this drive. Select Back or a name in the path above the list to go up again.
  4. Tick the file, or files, you want. Files the tool you are in can't use — for example a spreadsheet in Compress PDF — are greyed out and marked "Not supported here". A Google Doc, Sheet or Slides file says what it opens as (for example "Google Doc, opens as Word").
  5. Select Add files (it counts them for you, for example Add 2 files).

What you'll see when it's done: the files appear in the tool as if you had added them from your computer, and a copy is kept in your File Library, tagged with where it came from. Your original in Google Drive or OneDrive is not changed.

To save a result to Google Drive or OneDrive:

  1. When a tool, a converter, the editor or the image workspace has your result ready, select Save to Google Drive or Save to OneDrive next to its download button. In the image workspace it saves the image you have open, in the format and quality chosen under Output; like an editor export made only on your screen, a copy is also kept in your File Library.
  2. Choose the drive and open the folder you want.
  3. Check or change the file name. Under it, DocuFlow tells you exactly where it will go, for example "Will be saved as report.pdf in My Drive › Invoices". When you save several files at once, each keeps its own name.
  4. Select Save here.

What you'll see when it's done: a line such as "Saved to Google Drive › Invoices › report.pdf" with an Open in Google Drive (or Open in OneDrive) link that takes you to the file.

Inside Shared with me on Google Drive you must open a shared folder before you can save: at the very top, Save here is greyed out and it says "Open a shared folder first."

If something goes wrong
  • "… Ask your administrator." — your DocuFlow e-mail address isn't known to your organisation's Google or Microsoft account, so DocuFlow can't open your files. Show the message to your administrator; there is nothing you can fix yourself. This can also appear for a shared drive.
  • "… isn't answering right now. Try again." — Google or Microsoft didn't respond. Select Try again, or wait a moment.
  • Anything else is explained in one sentence from DocuFlow — for example "That folder isn't available." or, on OneDrive, that a file name can't contain certain characters. Do what it says; Try again only appears when trying again can help.
  • A file that is too large is refused with a sentence naming it. If you picked several files, the ones that were already added are kept and unticked, so selecting Add files again only tries the rest.
  • "There's nothing here you can open yet. Ask your administrator." — your organisation hasn't made any drive available to you.
  • When your connection to DocuFlow is down, the buttons are hidden rather than left to fail.

Screenshots of these steps will be added once the connection has been set up with a real Google Workspace and Microsoft 365 organisation.
